Terms and conditions
RESERVATIONS & PAYMENTReservations may be made by email, fax or telephone. Payment for any tour can be made online by signing and faxing a credit card authorization form or through wire transfer. At the time of booking, we will provide detailed instructions on how to send us your payment.
CANCELLATION & REFUNDS
We highly recommend that you purchase travel insurance, including trip cancellation/interruption insurance. All cancellations must be received in writing by fax or via email (confirming reception by Bike Arenal).
ONE DAY TOURS
• The reservation will not be confirmed until full payment.
• Cancellations made 8 days or more before the date of service, a 20% is applied on the total amount, corresponding to operating expenses.
• Cancellations made between 48 hours and 7 days before the service date, a 50% charge will be applied.
• Cancellations made 48 hours or less are non-refundable and will be penalized 100% of the amount.
• No Show" is non-refundable and will be penalized 100% of the amount of the reservation.
MULTIDAY TOURS, HOTEL AND TRANSPORTATION
•We require a 25% deposit to confirm a reservation.
•Full payment is due 60 days before the tour/service date.
•We'll refund 90% of the tour price in all cancellations received in our office until 30 days before the tour/service date.
•We'll refund 50% of all cancellations received in our office between 30 and 15 days before the tour/service date.
•No refunds will be made on cancellations received in our office less than 15 days before the tour/service date or once a tour has begun.
•Late reservations will be taken depending on availability.
Refunds take 2-4 weeks to process from the date written cancellation is received. We reserve the right to cancel a tour prior to departure for any reason, in which case a full refund will be made. Refunds are for tour price only and do not include transportation, hotel or other expenses incurred on the part of tour participants. This includes expenses incurred by tour participants in instances where Bike Arenal S.A. is forced to cancel a tour.
PRIVACY POLICY
Agencia Bike Arenal S.A. understands that privacy is important to you. We collect your personal data strictly to assist us in getting you the information you are seeking, and to provide you with direct customer service. We will never sell or give your personal information to any other person or organization that does not pertain to your trip.
RESPONSIBILITY
The payment of the deposit or any partial or full payment for a reservation on a tour shall constitute consent to all provisions listed under "Terms & Conditions" herein. These provisions are hereby incorporated by reference in this RESPONSIBILITY notice, and participants are advised to take notice.
Bike Arenal S.A. is the principal tour operator for these tours and is responsible to the participants for all arrangements and for all tour services and accommodations offered. Bike Arenal S.A., its agents, servants and employees shall not be responsible for personal injuries or property damage, loss or delay, or change of itinerary incurred by any person or tour participant arising out of the act of negligence of any direct or supplemental carrier, hotel, or other person rendering any of these services, or accommodations being offered in these tours; nor shall Bike Arenal S.A. be responsible for any injuries, death, damage, loss or delay in any means of transportation or by reasons of any event beyond the actual control of Bike Arenal S.A., or of any agent or supplier, or due to force majeure.
Tour participants follow the suggested itinerary at their own risk and agree not to hold Bike Arenal S.A. responsible for injury or death resulting from accidents. Bicycles provided for use during these tours or for rent, are in satisfactory operating condition and participants agree to use them at their own risk or call deficiencies to the immediate attention of the Bike Arenal S.A. staff. Instruction in the use of bicycles will not be provided and participants affirm that they are familiar with the use of a multi-speed bicycle. Bicycle tour participants are required to wear a helmet while cycling. The tour operator reserves the right to substitute hotels, restaurants, routes or other services listed in the itinerary with comparable services if necessary. The right is also reserved to decline to accept or retain any person as a member of a trip due to circumstances beyond the control of Bike Arenal S.A.
Activities involved in active travel and the tours described in our catalogs and on our web site are physically demanding, strenuous and potentially dangerous. By reserving space on a tour, tour participants acknowledge that they are in suitable physical and mental condition to perform the activities described. At the discretion of employees of Bike Arenal S.A. participants failing to meet these physical and mental requirements, or participants deemed harmful or disruptive to other participants' enjoyment of the tour, may be asked to leave the tour, with no refund applicable.
